We built a connected ordering, billing, and delivery operation from the ground up for RestoSupply, replacing WhatsApp orders, verbal card payments, phone-dispatched drivers, and a QuickBooks setup that had no room left to grow. Dynamics 365 Business Central now sits at the centre of the operation, connected to a custom-built client ordering portal, Worldline card tokenisation for secure recurring payments, and Shipday for last-mile delivery management and live client tracking.

RestoSupply needed a modern platform to support its next stage of growth. As the business grew, relying on manual processes and disconnected systems became increasingly difficult. Dynamics 365 Business Central brought together ordering, finance, inventory, and delivery operations into one connected platform, improving operational efficiency and enabling sustainable growth.

A leading importer and distributor of restaurant supplies, foodservice disposables, and custom-printed packaging serving foodservice businesses across Canada.

The Challenge

  • Orders arrived by WhatsApp, phone call, and email with no order management system behind them. The team transcribed each one manually into QuickBooks, with items regularly missed and quantities entered incorrectly.
  • Custom-printed box orders were specified by email with artwork shared through a folder that had no version control or client sign-off step.
  • Client pricing lived in both QuickBooks and Excel. The two fell out of sync regularly and approximately 20% of tiered-client orders were invoiced at the wrong price.
  • Inventory had no container or lot tracking. Stock from different China shipments at different landed costs was averaged together in QuickBooks.
  • Payments were collected by bank transfer or card over the phone, with no secure recurring payment option and debtor days averaging 47.
  • Deliveries were dispatched by phone with no routing, proof of delivery, or live client tracking.

Our Solution

Business Central and Custom Trade Portal

  • Dynamics 365 Business Central was deployed as the central ERP replacing QuickBooks. Clients, products, pricing, purchase orders, sales orders, inventory, and accounts all run from BC.
  • A custom trade ordering portal was connected to BC via API. Clients see their own pricing, order history, outstanding invoices, and credit balance drawn live from BC.
  • Portal orders create confirmed BC sales orders automatically, giving the warehouse team immediate pick and despatch instructions.
  • Custom box orders now use a structured specification form with artwork upload and client confirmation before the approved spec attaches to the BC sales order and manufacturer purchase order.

Container Tracking, Payments, and Delivery

  • Container and lot tracking was configured in BC, with freight, duty, and customs clearance allocated across container contents for true landed cost per unit.
  • Worldline card tokenisation was integrated with the portal and BC. Clients can pay invoices in the portal and opt into automatic payment from a saved token.
  • Shipday was integrated with BC so a delivery job is created automatically when a BC despatch note is confirmed.
  • Drivers use Shipday route-optimised delivery sequences, while proof of delivery and live client tracking link back to BC.

The Impact

RestoSupply now runs ordering, billing, secure payment collection, delivery dispatch, tracking, and landed-cost inventory from one connected Business Central environment.
